Case Study: Supporting a World Event with Real-Time Portuguese Gaming Localization
Case Studies
04 Dec 2025
TextTrans has supported localization teams for more than twenty years, often stepping in when projects require accuracy, consistency, and close coordination across time zones. One of our most memorable achievements came during a world-level gaming tournament, where our game localization expertise took the shape of Portuguese subtitles for daily player interviews and Open Mic recordings. The project spanned nearly two months, with tight turnarounds, weekend coverage, and high visibility for the end client.
Despite the pressure, the team delivered every asset on time and maintained the quality standards expected in competitive gaming content. The project concluded with strong praise from the end client, recognizing the work of our project manager, Lau Lemos, and our language specialist, Luiz Lendengues, whose collaboration kept the workflow steady during unpredictable conditions.
Client context
The end client is a major global player in the gaming industry. Their world tournaments attract millions of viewers and require localized content that feels immediate, authentic, and fully aligned with each region’s expectations. Portuguese was a key language for this event, given the size and engagement of communities in Brazil and Portugal.
The tournament ran daily with no possible changes to the broadcast schedule. This meant the localization team had to stay online from early morning CET, including weekends, to receive files, translate, synchronize, review, and deliver Portuguese subtitles only hours after the source content was recorded.

Project scope
Languages: ptBR and ptPT
Content type: Player interviews and Open Mic recordings
Format: Subtitled video content
Duration: Nearly two months, seven days a week
Delivery model: Real-time daily handoffs with immediate turnaround
Tools: memoQ for translation; Excel and WhatsApp for scheduling and communications
The assignment required fast translation and full TEP for subtitles, plus synchronization checks to ensure timing and phrasing matched each player’s delivery, tone, and personality.
Delivery constraints
The project was structured around mandatory daily attendance. Team members were online between 6:00 and 6:30 a.m. CET for three to five hours each day, depending on the match schedule. No delays were permitted because the content was tied to public broadcasts in multiple markets.
Hand-offs could arrive late without warning, which meant translators and reviewers sometimes waited an extra hour or more before receiving files. The workload also fluctuated, with some drops three times larger than forecast.
Despite these challenges, which aren’t uncommon in game localization environments, deadlines were never missed.
Team structure
To handle the volume and maintain linguistic consistency, TextTrans assembled a dedicated team across two variants of Portuguese:
• ptPT team: 4 translators
• ptBR team: around 6 translators
• Project management:
– Primary PM: Lau Lemos
– Backup PM and lead linguist: Luiz Lendengues
The team roster and schedules were created based on the client’s daily timetable, adjusted for availability across time zones. Coordination happened through an Excel planning sheet and a WhatsApp group used to confirm attendance and resolve urgent questions.
Workflow in practice
Stage 1: File receipt
Each morning the team logged in ahead of time. When files arrived, Luiz assigned tasks immediately to ensure translators could begin without delay.
Stage 2: Translation and sync
Subtitles required clarity, timing accuracy, and sensitivity to regional linguistic differences. Many interviews contained gaming terminology, last-minute player reactions, or spontaneous humor that needed careful treatment.
Stage 3: Review and QA
All content was reviewed before delivery. Timing, line breaks, terminology, and reading speed were checked to match the client’s specifications.
Stage 4: Final delivery
Assets were submitted strictly within the required window. Even when handoffs were late or volumes tripled unexpectedly, the team adjusted shifts and pulled in extra support to meet the day’s deadline.
Challenges and how they were handled
1. Unpredicted file delays
Files sometimes arrived more than an hour late. The team stayed online until handoffs were released and reorganized assignments instantly. This required flexibility and quick decision-making.
2. Sudden volume spikes
Some days, the workload reached triple the expected size. Extra translators were brought in over the weekend, and the team reorganized schedules to keep pace.
3. Limited client availability for questions
Clarifications were sometimes difficult to obtain in time. In those cases, the team used established style guidance, previous context, and professional judgment to keep the workflow moving.
4. Weekend and early-morning shifts
The project required unwavering commitment. The team remained available every single day of the tournament, including weekends, holidays, and early hours.
Despite all of this, the project stayed on track without a single missed delivery.
Experience from the team
Lau Lemos, Project Manager:
“It was a demanding project with tight deadlines and early starts, but the pace made it exciting. Every morning brought something new. Seeing everything come together so smoothly at the end was incredibly satisfying.”
Luiz Lendengues, Linguist and Backup PM:
“As a gaming enthusiast, this project was a real pleasure. Managing subtitles for a major tournament taught me a lot about handling high-visibility content. Lau’s guidance was essential, and the positive client feedback gave me confidence as both a linguist and a backup PM.”
Outcome
The team delivered high-quality ptBR and ptPT subtitles for the entirety of the tournament without any delays. Quality remained steady, even on days with increased volume or unexpected changes.
The project ended with a celebratory note when a Brazilian team won the tournament, which boosted morale across the ptBR team.
The end client shared enthusiastic feedback praising TextTrans’ responsiveness, reliability, and composure under pressure:
“Thank you for all your stunning support. We appreciate your swift deliveries. You are an amazing team, and we’re really happy to work with you… Big kudos for always handling the turbulence with such ease and making sure we meet client deliveries. You are champions.”

Long-term value
Successfully managing such a time-sensitive, high-visibility project strengthened the relationship between TextTrans and the LSP managing the account. It also demonstrated the effectiveness of a reliable, specialized Portuguese team capable of supporting demanding multimedia localization cycles.
The experience reinforced TextTrans’ core promise: consistent delivery, skilled linguists, and strong PM-linguist collaboration that stands up to real-world pressure.
